Group Programs Coordinator

Organization: Kaya Responsible Travel
Location: Minneapolis, MN OR may consider remote (US Central or Eastern Time Zones)
Hours: Full-time 40 hours/week
Start Date: Early-Mid August

Since 2009, Kaya Responsible Travel has organized unique and immersive international experiences for individuals and institutions, with a mission of promoting sustainable social, environmental and economic development, empowering communities and cultivating educated, compassionate global citizens. Working closely with local leaders, we develop unique and immersive experiences for University faculty-led groups.


What We Are Looking For

As we expand our goals to integrate UN SDGs into academic group programs, we are seeking a passionate and enthusiastic individual to join our group programs team. This position offers a unique look at sustainable travel and international education and is a great opportunity for someone looking for a role that is never boring! The Kaya team is proud to be at the forefront of cultural and ethical conversations around people and the environment, including LGBTQ+ rights, Women’s Empowerment, Climate issues, and more. We seek team members who align with our values to help promote and deliver unique and sustainable international experiences for our participants.

The US Group Programs Coordinator will work as part of our Customized Group Programs Team. The role will focus on both program development and program delivery, including developing and maintaining relationships with Kaya’s US university partners (study abroad office staff and faculty). This position requires an ambitious, organized individual who is willing to express their ideas with the goal of growing Kaya customized group programs. The successful candidate must be passionate about international travel/education, adaptable to growing company needs, and invested in great customer service. Experience with cross cultural communication is a plus. This position offers the option to work from our Minneapolis HQ or remote within the USA (with preference to Central and Eastern Time Zones).

What You Will Be Doing

Duties may include but are not limited to the following:

  • Institutional Partnership Development 
    • Support the development and implementation of strategies to expand academic partnerships within existing and new institutions
    • Represent Kaya at industry conferences and events
    • Promote Kaya’s mission to integrate UN SDGs within international education programs
    • Develop materials to promote Kaya’s group program opportunities
    • Assist in delivering “Request for proposal” submissions
    • Identify opportunities to connect with new institutional partners
  • Program Development
    • Work closely with University study abroad staff and faculty to discuss, understand and evaluate the needs and requirements of their programs to develop proposals and solutions and support them through the delivery process
    • Liaise with on-site providers via email, video and phone calls to communicate all requirements, suggest activities and integrate their suggestions with the overall program objectives.
    • Develop detailed and well-presented customized group program proposals in a thorough and timely manner. Will require managing many proposals at a time.
    • Develop budgets for programs
  • Program Delivery
    • Manage communications and logistics with both our institutional partners and on-site teams for designated groups 
    • Create and deliver all documentation and pre-departure materials for approved group programs
    • Prepare and deliver pre-departure presentations for running programs
    • Provide remote emergency support for your designated group programs – may require some work on weekends or “off” hours.
    • Lead debrief meetings post-program
    • Alongside the team, participate in the critical evaluation of processes and develop and implement strategies to make group programs more efficient, effective, and supportive.
  • Marketing Material Support
    • Support developing presentations, info sessions, brochures, blogs and social media posts for group programs

SKILLS AND EXPERIENCE

REQUIRED

  • Participation in International study, internship, volunteering, work, or travel
  • Bachelor’s degree in any subject
  • Excellent interpersonal skills, strong verbal and written communication skills.
  • Understanding of the US higher education system with experience in international education or related fields a plus
  • Great computer skills – operational experience with a CRM, Asana, Google Suite and/or Microsoft Office platforms a plus
  • U.S. driver’s license

  • Ability to work independently and collaboratively alongside a remote team
  • Ability to respond and adjust priorities
  • Diligent organization and time management skills
  • Comfortable working in ever-changing routines (day-to-day tasks look different depending on the time of year)
  • Ability to adjust schedule to accommodate meetings in different time zones (ie. 7am or 9pm calls to Vietnam)
  • Experience traveling to a variety of international settings
  • Experience with speaking to large groups
  • Experience working with high-demand clients
  • Interest in occasional travel internationally
  • Spanish skills a plus
  • Social Media experience a plus
