Academic Relations Representative - USA

Organization: Kaya Responsible Travel & World Endeavors
Location: Regionally based – remote within USA

Position description

For over 20 years, Kaya Responsible Travel and our partner organization, World Endeavors, have been organizing unique and immersive international experiences for individuals and institutions, with the goal of transforming lives through international learning. Between us, we offer study abroad, internship, volunteer and faculty-led group programs in nearly 50 countries and we are expanding. Our organizations are like-minded and mission-driven, focused on culturally-responsible and environmentally sustainable initiatives. 

We are looking for a highly motivated, well-organized person with sales and customer service experience to represent our portfolio of programs on university and college campuses in the United States.

Working as part of an academic relations team, this position develops and manages university, college, and high school relationships within a designated region of the USA. In this role, individuals will gain an understanding of institutional needs and how our programs can fulfill those needs – supporting institutions when recruiting students for our programs. 

A successful candidate will be a positive and energetic individual with excellent customer service, communication, and sales skills. The position requires significant domestic travel and an independent, motivated and flexible mindset.

KEY RESPONSIBILITIES

  • Increase recruitment of individual student participants in study, internship, and service-learning programs and student groups in customized group programs.
  • Develop and manage strong relationships with key departments on campus related to international programs, career services, and service learning, as well as individual faculties and other decision-makers.
  • Grow program enrollment by developing and implementing institution-specific, multi-faceted recruitment strategies including online recruitment, referral generation, advertisement placement, listings and postings, cold calling, and networking.
  • Visit campuses and engage with students, staff, and faculty through meetings and events such as study abroad fairs, internship/career fairs, classroom visits, postering, tabling, and presentations. 
  • Assist the academic relations team with data collection and analysis and help identify potential prospects and other opportunities.
  • Remain active in the client lifecycle post-recruitment by collaborating with program management teams to ensure success of students and groups from your region.
  • Provide the program development and management teams with recommendations based on institution-specific knowledge. 
  • Support organizational marketing strategies through content design and creation, social media, print material design, and digital content creation.
  • Maintain accurate data, customer records, and reports related to regional activities and outcomes using the CRM system and other tools.
  • Manage travel and accommodation logistics, budgets, and expenses.
  • Promote our organizational values, methods, and best practices as a subject matter expert at conferences, events, and online. 
  • Engage with leads, applicants and enrollees by phone, email, online, and in-person.

REQUIRED QUALIFICATIONS AND EXPERIENCE

  • Bachelor’s degree (any subject)
  • Experience and aptitude in sales
  • Experience in international education or related fields
  • International experience involving study, an internship, a volunteer project, work, or travel
  • Competency in public speaking with strong interpersonal and written skills
  • Proficient with Google Suite and Microsoft Office products including Word, Excel, and Powerpoint
  • Valid US driver’s license

  • Ability to work independently to achieve expected outcomes

  • Skilled at successfully managing multiple priorities and problem-solving in a fast-paced, dynamic environment
  • Demonstrated ability to connect with and communicate effectively and professionally with a diverse audience in different roles and levels (e.g. university leadership and management, faculty, students, and parents) and across cultures.
  • Ability to work a flexible schedule (including some evenings and weekends) and travel frequently (50-70% of the time) along with remote work
  • Able to travel weekly – your own transportation for local travel is necessary

WORK ENVIRONMENT & PHYSICAL DEMANDS

  • This role is remotely based, working from your home office when not traveling
  • Frequent air and ground travel is expected throughout the year with peak seasons from September-November and January-March
  • Some travel and work may be required on the weekends, especially during peak season.
  • Requirement to lift and carry up to 40 pounds, stand for long periods of time, walk long distances, climb stairs, bend, and squat.

Programmes Manager - South Africa

Position description

We are currently searching for a passionate and committed individual to help manage Kaya’s portfolio of volunteer and internship placements. The position requires an individual with great cross-cultural communication skills and a passion for development. Applicants must be South Africa based or have work permits to work in South Africa. KEY RESPONSIBILITIES
Partnership and Portfolio Management

  • Developing and maintaining partnership with overseas organisations, ensuring good relationships are in place, maintaining contracts and gathering project and placement information to support the recruitment of participants and delivery of programs
  • Managing project information, updating changes in documents, sheets and on the Kaya website, and communicating with the Kaya team in a timely manner to ensure accuracy, relevancy and depth of information for internal and external use.
  • Maintaining and developing ground operations through sharing best practice policies and procedures and producing documents with our in-country partners
  • Keeping logs and reference docs up to date to assist the placement team with the sales process
  • Identifying and developing new projects, to expand the Kaya portfolio in response to program needs
  • Monitoring travel and safety information on Kaya destinations

Ethics and Best Practice

  • Ensuring safety checks, risk assessments and other documentations are in place and updated for all Kaya’s placements, partners, and participants
  • Monitoring and taking action on international safety issues, keeping the team up to date about changes in requirements and recommendations
  • Keeping abreast of International Development and Industry Ethical Issues, responding to queries, developing documents to support the recruitment process, and driving forward changes if concerns in the industry indicate there is a need to do so
  • Investigating and implementing best practices in community participation, impact, and sustainability with partners and projects

Finance:

  • Managing and implementing annual and ad hoc pricing of the Kaya portfolio
  • Checking invoices and managing payments to partners

Marketing and Communication:

  • Monitoring, editing and developing Kaya’s website content to improve SEO and sales
  • Identifying ideas that increase participant recruitment
  • Writing and supporting the team with the production of blogs and other articles used to promote Kaya’s ethical stance, ethics, and travel
  • Providing and checking content of materials for use in campaigns and listings
  • Drafting submissions for industry sector awards

Placement Support:

  • Investigating and resolving participant complaints, through liaising with the placement team participants and partners, updating Kaya’s complaint documentation procedures, in a timely and professional manner
  • Following up on all feedback, making improvements to documents and processes where necessary
  • Providing assistance with emergency phone lines when necessary
  • Occasionally supporting the sales team with manning online chat and answering calls when needed

Training and Development:

  • Developing the Kaya team globally through the delivery of training materials, sessions and training plans in areas including ethics, safety, destinations and project information.

Strategy:

  • Producing regular statistics for the team and the Kaya Board of Directors, relating to the portfolio and sales.
  • Actively participate in the planning and implementation of Kaya’s strategy, on an annual and ongoing basis

SKILLS AND EXPERIENCE

Required:

  • Experience in the volunteer/ study abroad/ responsible travel field or in community development initiatives.
  • Educated to degree level, preferably in international development, international education, business or marketing
  • Good communication skills, preferably having worked with overseas teams, and non-native English speakers in the past, with the ability to diplomatically manage difficult situations with clients and ground team.
  • Self-confident and able to use your own initiative to make decisions, lead a team and handle difficult situations
  • Financial skills to oversee the processes of pricing, payments, and invoices
  • Well organised with good attention to detail
  • Strategic thinker
  • Interested in international development issues / news

Desired:

  • Have experience of people management, preferably of international volunteers or interns
  • Business experience including project planning
  • Training experience
  • Social media and marketing experience

COMPENSATION AND BENEFITS

  • Salary – from ZAR 25,000 per month
  • Holidays – 21 days per year plus 12 South African public holidays
  • Working hours – Mon-Fri 9-5.30 (flexible)
  • Location: Cape Town, South Africa based, with the option for remote work.
