Academic Relations Representative - USA (Road Warrior)

Position description
For over 20 years, Kaya Responsible Travel and our partner organization, World Endeavors, have been organizing unique and immersive international experiences for individuals and institutions, with the goal of transforming lives through international learning. Between us, we offer study abroad, internship, volunteer and faculty-led group programs in nearly 50 countries and we are expanding. Our organizations are like-minded and mission-driven, focused on culturally-responsible and environmentally sustainable initiatives.
We are looking for a highly motivated, well-organized person with sales and customer service experience to represent our portfolio of programs on university and college campuses in the United States.
Working as part of an academic relations team, this position develops and manages university, college, and high school relationships within a designated region of the USA. In this role, individuals will gain an understanding of institutional needs and how our programs can fulfill those needs – supporting institutions when recruiting students for our programs.
A successful candidate will be a positive and energetic individual with excellent customer service, communication, and sales skills. The position requires significant domestic travel and an independent, motivated and flexible mindset.

KEY RESPONSIBILITIES
- Increase recruitment of individual student participants in study, internship, and service-learning programs and student groups in customized group programs.
- Develop and manage strong relationships with key departments on campus related to international programs, career services, and service learning, as well as individual faculties and other decision-makers.
- Grow program enrollment by developing and implementing institution-specific, multi-faceted recruitment strategies including online recruitment, referral generation, advertisement placement, listings and postings, cold calling, and networking.
- Visit campuses and engage with students, staff, and faculty through meetings and events such as study abroad fairs, internship/career fairs, classroom visits, postering, tabling, and presentations.
- Assist the academic relations team with data collection and analysis and help identify potential prospects and other opportunities.
- Remain active in the client lifecycle post-recruitment by collaborating with program management teams to ensure success of students and groups from your region.
- Provide the program development and management teams with recommendations based on institution-specific knowledge.
- Support organizational marketing strategies through content design and creation, social media, print material design, and digital content creation.
- Maintain accurate data, customer records, and reports related to regional activities and outcomes using the CRM system and other tools.
- Manage travel and accommodation logistics, budgets, and expenses.
- Promote our organizational values, methods, and best practices as a subject matter expert at conferences, events, and online.
- Engage with leads, applicants and enrollees by phone, email, online, and in-person.
REQUIRED QUALIFICATIONS AND EXPERIENCE
- Bachelor’s degree (any subject)
- Experience and aptitude in sales
- Experience in international education or related fields
- International experience involving study, an internship, a volunteer project, work, or travel
- Competency in public speaking with strong interpersonal and written skills
- Proficient with Google Suite and Microsoft Office products including Word, Excel, and Powerpoint
- Valid US driver’s license

- Skilled at successfully managing multiple priorities and problem-solving in a fast-paced, dynamic environment

- Ability to work a flexible schedule (including some evenings and weekends) and travel frequently (50-70% of the time) along with remote work
- Able to travel weekly – your own transportation for local travel is necessary
WORK ENVIRONMENT & PHYSICAL DEMANDS
- This role is remotely based, working from your home office when not traveling
- Frequent air and ground travel is expected throughout the year with peak seasons from September-November and January-March
- Some travel and work may be required on the weekends, especially during peak season.
- Requirement to lift and carry up to 40 pounds, stand for long periods of time, walk long distances, climb stairs, bend, and squat.

Placement Advisor (Ecuador)

Position description
Placement Advisors are the first point of contact for people interested in or already participating in a volunteer or internship program with Kaya. Our approach is to share our passion for travel and community engagement in an effort to inspire others, to convey our knowledge of our projects and ethical issues in the field, and to offer a high level of support for every participant from start to finish.
As a Placement Advisor, you will work Monday – Friday responding to email, telephone, and live chat inquiries. While having a Latin America base, you will also work with placements in our Asian and African locations. You will be responsible for your own contacts from inquiry to participation; following up with leads, communicating with our partner organizations around the world, and managing the administration of inquiries and participants. The team also supports academic institutions offering Study Abroad placements for their students, so the role will include communications with faculty and study abroad professionals.
In addition to advising and recruiting participants, you will also be responsible for overseeing your placements throughout their program, in collaboration with Kaya Placement Administrators who support this role.
There are some additional opportunities for the individual in this position to work as a Group Coordinator for faculty-led group programs that occur throughout the year in the Latin American region, which may require travel within Ecuador and other Latin American locations.
This position is based at Kaya’s Quito office, where this Kaya position shares office space with our Ecuador site team. Requests to work based at a different Ecuador or Latin American location will be considered. We work closely as a team across time zones, so it’s important that you can work well as part of a multi-locational team and are able to work independently when other team members are offline. This position reports to the Senior Placements Manager in the UK.
This position requires a proactive, eloquent and enthusiastic individual who has at least a competent level of conversational Spanish and an interest in the field of social and environmental development. The successful candidate for the position will be passionate about travel and prepared for a steep learning curve in the field of international education.
Specific Duties:
- Recruitment:
– advising inquiries on Kaya placements and enabling applications
– working with the team to achieve recruitment targets - Participant support:
– managing questions and issues that arise prior to departure and during placements
– liaising with sign-ups in preparation for departure
– learning and working with CRM systems
– supporting participants in-country and helping resolve any issues that arise - International relations with partner organizations and providers:
– communicating and maintaining relationships with in-country teams to confirm placement details and logistical arrangements for volunteers - University Relations:
– communicating and maintaining relationships with Study Abroad offices in our affiliate US schools - Marketing and Social Media:
– supporting marketing efforts in the development of materials that promote volunteering and Kaya’s placements, including
– writing blogs
– identifying content for social media
– writing case studies for our website and gathering photos and videos - Administration:
– managing the administration of participants
– documenting and managing information across a multi-location team - Developing an area of specialism to become more involved with and lead projects relating to your topic area
- Other tasks and duties as assigned
REQUIRED QUALIFICATIONS AND SKILLS
- Experience traveling, ideally with some international volunteer, intern, or study abroad experience and/or in a developing location.
- Fluent English speaker
- Competency in Spanish (verbal communication, intermediate and above)
- An undergraduate degree, any subject
- Strong communication and interpersonal skills – written and verbal
- Basic computer skills including word processing, spreadsheets, email etc. we work primarily with the Google suite.
- Strong organizational skills
- Ability to work with a team and independently
